Terms and Conditions

Last Updated: November 01, 2025

These Terms and Conditions ("Agreement") outline the terms governing your use of the onlinehorseshowing.com website ("Website" or "Service") and its associated products and services ("Services"). This Agreement constitutes a legally binding contract between you ("User," "you," or "your") and the operator of this Website ("Operator," "we," "us," or "our").

If you are accessing the Website or Services on behalf of a business or other legal entity, you represent and warrant that you have the authority to bind that entity to this Agreement. In such cases, the terms "User," "you," or "your" will refer to the entity you represent. If you lack such authority or do not agree to the terms of this Agreement, you must not accept this Agreement and are prohibited from accessing or using the Website and Services.

By accessing or using the Website and Services, you confirm that you have read, understood, and agree to be bound by the terms of this Agreement. You also acknowledge that this Agreement constitutes a contract between you and the Operator, governing your use of the Website and Services, even though it is electronic and not physically signed.

By entering any of Online Horse Showing’s shows and using our website, you agree to the following Terms and Conditions:

1. General Guidelines

Online Horse Showing is an equine-focused event unless expressly stated otherwise. Although other animals may appear in submitted images, the primary subject must always be the horse. Online Horse Showing is a non-affiliated, recreational event and is not associated with any breed registry or showing organisation.

2. Participation Disclaimer

Participation is undertaken at your own risk. By entering, you agree that your photographs will be judged against set criteria relevant to the class entered, and that any rosettes awarded are given as free gifts and hold no monetary value. Entry does not create any entitlement to a prize or rosette. The Operator accepts no liability for injuries or incidents arising from participation. Judges’ decisions are final and shall not be challenged. Refunds are not provided for unplaced entries or entries that remain unused.

3. Entries and Image Requirements
Image Ownership

Entrants must own or have explicit written permission to use all submitted images. Any uncertainty regarding image ownership will result in delayed processing. Images containing watermarks across the subject are not accepted. Advertising or photographer credit watermarks are permitted.

Editing Rules

Digital editing such as solid-colour background changes, overlays, filters, black-and-white conversions (including black-and-white images with portions in colour), and adjustments to brightness, contrast, saturation, sharpness, cropping, or straightening are permitted, provided they do not alter the horse’s natural appearance, markings, or condition unless otherwise permitted in the class rules. Acceptable digital editing refers only to manual adjustments that enhance image quality or presentation without changing the horse’s physical characteristics.

Prohibited Additions

No edits may add new visual elements to the horse or the original scene. Additions such as artificial objects, markings, scenery, or any content not present in the original photograph are not permitted. Decorative graphics, borders, and text are accepted provided they do not alter, obscure, or modify the horse’s natural appearance, markings, condition, or the original photographed environment.

AI Restrictions

Editing performed using traditional software tools such as Adobe Photoshop or Lightroom is acceptable only when AI-assisted or AI-generated features are not used. AI-generated or AI-modified images, including AI backgrounds, AI retouching, AI-based object addition or removal, or any automated alteration of the horse or environment, are strictly prohibited unless the class rules explicitly state that AI editing is accepted.
“AI-assisted or AI-generated” refers to any tool or feature that automatically creates, fills, replaces, or modifies parts of an image using machine learning or artificial intelligence processes.

Entry Format

All entries must include the entrant’s first name, surname, and the horse’s name. Where a surname is not provided, the Operator will attempt to obtain it from the entry form. If no surname can be confirmed, the entry will be rejected.

Entry naming format:

Single entry: Full Name & Horse’s Name (e.g., Jane Doe & Horse).

Multiple entries (people/horses): Full Name with Horse’s Name & Horse’s Name (e.g., Jane Doe with Horse & Pony).

Entries that do not comply with this format will be rejected or altered to comply.

Usage and Safety

If a professionally taken image is submitted, the entrant is responsible for obtaining permission from the photographer before entering. Entries found to breach usage rights may be disqualified without refund. Images depicting unsafe handling or poor horsemanship may be scored lower at the judge’s discretion. The Operator recommends that appropriate safety gear be worn in all images and videos.

All entries must be submitted in their completed state. The Operator does not offer editing, background changes, or collage assembly services. The Operator reserves the right to request original, unedited files to verify authenticity. Failure to provide these upon request may result in disqualification without refund.

Entrants must have permission from all individuals visible in submitted images. Misuse of images will result in disqualification and a permanent ban.

4. Classes and Deadlines

Classes with fewer than ten entries may be extended to the following month. Submission deadlines may be altered at the Operator’s discretion. Each horse and owner combination may enter the same class more than once. In collage-based classes, participants must prepare and submit their own collages.

5. Refunds and Eligibility

Refunds are provided only at the Operator’s discretion and shall not include processing or transaction fees. Free entries and unused loyalty points are not refundable and have no cash equivalent. If an entry is deemed ineligible, participants may be offered the option to reassign the entry to another class or defer it to a future event.

6. Rosettes and Prizes

Rosettes are not guaranteed and are subject to availability, except where stated. Rosettes will be awarded to entrants who have entered the Newcomers class and at least one other class under the same name, and who do not place in the Newcomers class, subject to stock availability.
Due to Global Shipping and Postal Regulations (GSPR) and customs restrictions, first-place prizes cannot be shipped to recipients in Northern Ireland or any EU member country. If customs rules prevent shipment of a suitable prize, no prize will be issued.

Prizes for sponsored classes are fulfilled directly by the sponsor. Prizes are non-transferable and cannot be substituted. Unclaimed prizes after six months are forfeited. Entrants are responsible for providing accurate address information. Items lost due to incorrect details will not be replaced.

By entering any class, you grant the Operator permission to share submitted photos or videos on the Website and social media, unless stated otherwise at the time of entry.

7. Postage and Delivery
UK Entrants

Standard delivery is free via Royal Mail Second Class. Upgraded options are available at an additional cost. Delivery times are estimates and not guaranteed.

International Entrants

Participants must pay all postage fees for standard airmail. Extra charges apply for tracked or signed services. All import taxes and customs duties are the responsibility of the recipient. The Operator is not liable for loss or damage in transit.

8. Free Entries and Loyalty Points

One free entry is awarded for every two full-price entries purchased to a specific class, excluding charity entries or “Everyone’s a Winner” classes.
Loyalty points accrue at one point per £3.50 spent and are valid for 12 months. Points must be redeemed via the Website. Loyalty entries cannot be used for charity or “Everyone’s a Winner” classes.

9. Judging and Results

Judging begins after the class closing date. Judges have three days to deliver results, which the Operator aims to publish within three working days. Judges and their close family members must not enter the classes they judge.

10. Code of Conduct

Disrespectful behaviour or non-compliance may result in disqualification or a permanent ban. Entrants must behave respectfully toward judges, sponsors, and organisers. Defamatory or false statements, online or offline, may result in permanent exclusion.

11. Child Safety and Consent

Entrants must be aged 18 or over, or have parental consent if under 18. If any person under 18 appears in a photo or video, the entrant must obtain permission from a parent or guardian. Entrants under 16 require parental consent to participate. Failure to verify consent may result in the removal of the entry.

12. Data Protection and Privacy

All personal data is processed in accordance with UK GDPR. Personal information is used only for show administration and prize delivery. Details will not be sold or shared except for legal compliance or prize fulfilment.

13. Miscellaneous Provisions

All rosettes are handmade and may vary slightly. Participants must update their contact details promptly. Discrepancies in loyalty points or league standings must be reported before posting. The Operator is not liable for delays caused by events beyond its control.

15. Prohibited Uses

Users may not use the Website or Services for unlawful, abusive, or fraudulent purposes, upload malicious code, or infringe on intellectual property rights. Violations result in immediate termination of access.

16. Intellectual Property Rights

All intellectual property, including text, graphics, and trademarks, remains the property of the Operator or licensors. Use of the Website does not grant any licence or reproduction rights.

17. Limitation of Liability

The Operator and its affiliates are not liable for indirect, incidental, or consequential damages. Total liability is limited to £1 or the amount paid in the one-month period preceding the event giving rise to the claim.

18. Indemnification

Users agree to indemnify and hold the Operator harmless against all claims or damages arising from user content, misuse, or violation of these Terms.

19. Severability

If any provision is found invalid or unenforceable, the remaining provisions remain in effect.

20. Dispute Resolution

This Agreement is governed by UK law. All disputes are subject to the exclusive jurisdiction of the courts of England and Wales.

21. Changes and Amendments

The Operator may modify these Terms at any time. Updated versions are effective upon posting. Continued use of the Website signifies acceptance.
